Quick Answer: AI assistants like ChatGPT, Google AI Overviews, Gemini, Copilot and Perplexity don’t hold a single “record” you can edit. They assemble answers from the sources they were trained on and the sources they retrieve in real time — Google Business Profile, Bing Places, Apple Business Connect, Yelp, data aggregators, state filings and your own website. To correct AI, you fix the upstream sources it reads, publish an authoritative version of the facts on your own site with structured data, and then use each platform’s feedback tools to flag the error. This layer is where fast corrections happen. Fix the source the AI retrieves and the answer changes.

Note that two of the highest-authority sources on that list — Sunbiz and DBPR — are government records that AI treats as ground truth. A business that changed its trade name but never updated its Florida annual report is telling AI two different stories.

The Correction Process, Step by Step

Step 1: Audit what AI currently says

Ask ChatGPT, Gemini, Copilot and Perplexity the same set of questions: “What does [business] do?”, “Where is [business] located?”, “Who owns [business]?”, “What are [business]’s hours?” Record every error. Then search Google and Bing for your business name and note which sources appear. Errors in AI answers almost always trace back to a source you can identify in this step.

Step 2: Fix the government record first

Log into Sunbiz and confirm your entity name, principal address, mailing address and officers are current. If you operate under a fictitious name, confirm the DBA registration is active and matches how you present the business publicly. Check your DBPR or county license record for the same consistency. These records are indexed by AI systems and carry more weight than any directory.

Step 3: Correct the platforms AI reads directly

Claim and verify Google Business Profile, Bing Places and Apple Business Connect. Make the name, address, phone, hours, category and website identical across all three — punctuation included. If a location closed, mark it permanently closed rather than deleting it; deletion leaves a gap that AI fills with stale third-party data.

Step 4: Publish the authoritative version on your own site

Create or update an “About” page and a contact page that state the facts plainly: legal name, DBA, founding year, leadership with titles, locations, services, licenses. Add Organization or LocalBusiness schema markup (JSON-LD) with the same values. AI retrieval systems favor first-party pages with structured data because they can parse them without guessing.

Step 5: Submit corrections to data aggregators

Data Axle, Foursquare and Neustar Localeze distribute business data to hundreds of downstream directories. Each accepts corrections directly. This is the step most businesses skip, and it is why a wrong address keeps reappearing on obscure sites months after Google was fixed.

Step 6: Use each AI platform’s feedback tools

Once the sources are fixed, flag the specific wrong answer:

  • ChatGPT: Use the thumbs-down on the response and describe the error. OpenAI also maintains a privacy portal for requests to correct or remove personal information about individuals, which applies to named owners and executives.
  • Google AI Overviews / Gemini: Use the feedback link on the AI Overview and the thumbs-down in Gemini. Also report the error on the underlying Google Business Profile or Maps listing.
  • Microsoft Copilot: Use the feedback control on the answer and update Bing Places, which Copilot retrieves from.
  • Perplexity: Use the feedback control on the answer; Perplexity cites sources, so identify which cited page is wrong and fix that page.
  • Meta AI: Feedback is available inside the chat; Meta also relies on Facebook Page data, so keep your Page current.

Feedback alone rarely changes an answer. Feedback plus corrected sources does.

Step 7: Generate fresh, consistent coverage

AI systems weight recency. A press release announcing a new location, a news article about a leadership change, or an updated industry directory profile gives the retrieval layer a current source to cite and gives the next training snapshot a corrected majority. Publish the correction in more than one place, using the exact same facts each time.

Special Cases for Florida Businesses
